Policies & Guarantees

This page sets out Eduzone by YMBA's privacy commitments, free tuition guarantee, and fair use rules for course materials — in plain, direct terms. These policies apply equally to every student, Venerable Bhikkhu, and visitor engaging with Eduzone.

Privacy & Data Protection

Last updated

This explains what personal information Eduzone by YMBA collects, why, who handles it, and what you can ask us to do. We follow the principles of Sri Lanka’s Personal Data Protection Act, No. 9 of 2022 (as amended by Act No. 22 of 2025). Its main duties on organisations are due to take effect on 1 January 2027; we apply them now.

What we collect and why we handle it with care

Who is responsible
Colombo YMBA (Young Men’s Buddhist Association) runs Eduzone by YMBA and decides how your information is used. 70, Y.M.B.A D. S. Senanayake Mawatha, Borella, Colombo 08 (00800). Email info@eduzonebyymba.org or WhatsApp +94 70 712 6319, Monday to Saturday, 8:30 to 4:30.
What we collect
  • Application and enquiry forms: title, full name, email address, WhatsApp number, the programme or workshop you choose, preferred dates, your message and, only if you choose to give it, an NIC or student ID number.
  • Class records: attendance, homework and evaluation results.
  • Online classes (Zoom): your display name, video, audio and chat. Some sessions are recorded.
  • In-person visits: your name on the sign-in record at reception.
  • Messages you send us by WhatsApp or email.
  • Photos and video taken at classes and events (see below).
  • Website visits: our web host keeps standard server logs, which include your IP address and browser details.
Sensitive information
Some details need extra care. Sri Lankan law treats information that reveals religious belief, information about a child under 16, and photographs that may indicate race or ethnicity as sensitive. A monastic title or status falls in this group. We use it only to address you correctly and place you in the right class.
  • Never published publicly by default.
  • Access is limited to the administrative staff who need it.
  • You can withdraw your consent at any time.
Photos and video
We take photos and video at classes and events to show our work on this website, in news items and on social media. We ask permission before publishing an identifiable photo or video of a student or Bhikkhu, and we remove an image when you ask us to. Message us with the page or post where it appears.

How we use, share and keep it

Why we use it
  • To deal with your application and place you in the right programme, batch and delivery mode. You ask us to do this when you apply.
  • To run your programme: apply the 80% attendance rule, mark work, and issue and later confirm your completion recognition.
  • To reply to your enquiries.
  • To keep classes and premises safe and orderly, including handling conduct concerns.
  • To meet legal duties, where a law requires us to keep or give information.
  • With your consent, for sensitive information, for publishing photos and video, and for anything else we ask your permission for. Withdrawing consent does not affect what we did before you withdrew it.
Who handles it for us
We do not sell your information or use it for advertising. Inside Eduzone, administrative staff and your lecturers see only what they need to do their work. We also use a few outside services that process information for us:
  • Netlify: hosts this website and receives the forms you submit.
  • WhatsApp (Meta): class groups and messages.
  • Zoom: online classes and any recordings.
  • Google and Tailwind CSS’s content delivery network: load fonts and page styling on this site, and Google loads the map on the Contact page. They receive your IP address when those load.

We may also share information where a law, court or public authority requires it.

Outside Sri Lanka
Netlify, WhatsApp, Zoom and Google run servers in other countries, so your information may be stored or processed outside Sri Lanka. We use these services only for the purposes above. If you are uncomfortable with this, tell us before you submit a form and we will tell you what we can offer instead.
WhatsApp class groups
Registration forms are used only to place you in the right programme, batch and delivery mode. Class WhatsApp groups are run by Eduzone administrative staff. Other members of your class group can see your number; it is not shared outside that group. You can ask to be removed from a group at any time without affecting your place. We do not post your name, number or monastic status publicly without your explicit consent.
How long we keep it
We keep information only as long as we need it for the reason we collected it. Details of people who apply but do not join are reviewed and deleted once they are no longer needed. Student records are kept so we can confirm attendance, results and completion later. Recordings are kept only while they are useful to the class they were made for. We keep information longer only where a law requires it.
Keeping it safe
Forms are sent over an encrypted connection, and access to records is limited to the staff who need them. No system is completely secure. If a breach could seriously affect you, we will tell you, and we will notify the Data Protection Authority where the law requires.

Your choices and rights

Your rights
  • See the information we hold about you.
  • Ask us to correct anything inaccurate or incomplete.
  • Ask us to erase your information, for example when you withdraw consent.
  • Withdraw consent at any time, or ask us to stop using your information where we rely on our own legitimate interests.
  • Ask for a review of any decision made only by automated processing. We make none.

A parent or legal guardian can act for a child, a person you authorise in writing can act for you, and an heir can act for a deceased person for up to ten years.

How to ask
Write to info@eduzonebyymba.org or message us on WhatsApp (+94 70 712 6319). Say what you want and give enough detail for us to find you. We may ask for more information to confirm who you are. We reply in writing, and if we cannot do what you ask we explain why. We honour these requests whether or not the law has yet made them compulsory.
Children under 16
Sri Lankan law treats anyone under 16 as a child and information about a child as sensitive. If you are under 16, a parent or legal guardian must give consent for us to use your information, and they can make requests for you.
Quiz and automated decisions
The “Which programme is right for me?” quiz runs in your browser. Your answers are not sent to us or saved. We do not make decisions about you using only automated processing.
Cookies and tracking
We do not use advertising or analytics cookies, and this site does not set cookies of its own. Services that load on our pages, such as Google fonts and the map on the Contact page, may set their own. Links to Facebook, Instagram, YouTube, LinkedIn and WhatsApp lead to services with their own privacy policies.
Messages from us
We use your contact details to reply to you and run your class. We do not send promotional messages unless you have agreed, and any such message tells you how to opt out for free.
Complaints
If you think we have mishandled your information, tell us first so we can put it right. You can also complain to the Data Protection Authority of Sri Lanka (dpa.gov.lk).
Changes
We may update this policy. The date above shows the latest version. If a change affects how we use your information, we will say so on this page.

Website Terms & Disclaimers

Information on this site
We work to keep this site accurate, but programme details, dates and availability can change. Please confirm with us before you rely on them or travel to Borella.
Free, but selective
Tuition is free. Places are limited and each application is reviewed individually, so applying does not guarantee a place.
No guaranteed outcomes
We teach and assess, but we cannot promise a particular result, job, admission or income. Certificates and diplomas are awarded by Eduzone by YMBA when a student meets the completion requirements. Please check with any employer or institution you plan to show them to whether they accept them.
Using the site fairly
Please do not submit false information, send spam through our forms, try to break or overload the site, or copy our materials in ways the Fair Use section does not allow.
Other services and links
This site links to services we do not control, such as WhatsApp, Zoom, Facebook, Instagram, YouTube and LinkedIn. Their content and rules are their own, and your use of them is under their terms.
Ownership
Eduzone and Colombo YMBA keep ownership of our curriculum, branding and course materials, as set out in the Fair Use section above.
Limits on our responsibility
To the extent the law allows, Colombo YMBA is not liable for loss from using this site or relying on its information, or from things outside our control such as internet or platform outages. Nothing here limits any liability that the law does not allow us to limit.
Governing law
These terms, and your use of this site, are governed by the laws of Sri Lanka, and the courts of Sri Lanka have jurisdiction.
Questions or changes
Questions about these terms: info@eduzonebyymba.org. We may update them, and the date at the top of the Privacy section shows when this page last changed.
